Role Description:
The Medical Service Representative must have at least 1+ years of experience. Under limited supervision, you will provide functional direction to assigned staff, schedules assignment w/ supervisor's confirmation, coordinates workflow and  assignment priorities, responds to appointment complaints and  problems, responds to questions of assigned employees, trains and  orients new personnel, provides information to supervisor regarding job performance of assigned staff in carrying out standard job duties, apprises supervisor of tardiness/attendance irregularities of assigned staff. 

May provide recommendations to supervisor regarding department policies and procedures, equipment, functional guidelines, etc. Also performs Service Representative duties.

Essential Functions:

- Upholds company Policies and Procedures, Principles of Responsibilities and applicable state, federal and local laws

- Provides functional direction to assigned staff

- Duties may include but are not limited to

- Schedules assignment w/ supervisor's confirmation

- Coordinates workflow and assignment priorities

- Responds to appointment complaints and problems

- Responds to questions of assigned employees

- Trains and orients new personnel,

- Provides information to supervisor regarding job performance of assigned staff in carrying out standard job duties

- Apprises supervisor of tardiness/attendance irregularities of assigned staff

- May provide recommendations to supervisor regarding department policies and procedures, equipment, functional guidelines, etc.

- Screens member and private patient appointments by telephone, mail or in person utilizing the CARE computer system to key in standard information such as name, medical record number, telephone number of patients, etc.

- Obtains relevant information to determine priority appointment time/date

- Confirms appointment changes due to cancellations and notifies patients of available alternate times

- Arranges for diagnostic lab/x-ray tests

- Obtains follow-up information

- Sorts and files incoming diagnostic test results and ensures physician's review of such forms

- Generates provider and patient appointment schedules via the CARE computer system

- Ensures current schedules are accurate, makes changes in accordance w/ authorized change slips

- Pulls run sheets for next day's appointments and places in designated areas

- Provides reception for designated area

- Verified patient's visit w/ pre- established appointment schedule

- Completes CPR's and may issue a variety of forms

- Directs patient to waiting area

- Processes patients leaving treatment areas by checking their medical processing forms for possible disposition instructions

- Collects appropriate fees as required per established fee schedule

- Carries out appropriate cash control procedures of balancing total cash payments w/ CPR's received to ensure accuracy

- Completes bank deposit slip for corresponding money

- Forwards cash register tape subtotals and transmittal form to cash control as required

- Provides telephone reception for designated area by screening and referring incoming calls to appropriate staff

- Takes and relays messages

- Calls in RX orders prescribed by physician for patients

- Gives out general or procedural information

- Types questionnaires, various medical/authorization/insurance forms and statistical reports per specific guidelines and/or handwritten copy

- Assume other duties as directed

Qualifications - External

Basic Qualifications:

- Experience using multi telephones required

- Experience in medical office background, preferred

- Cashiering experience, preferred

- Knowledge of CARE appointment training/experience, preferred

- Medical terminology, preferred

Preferred Qualifications:

- Ability to follow written and verbal directions.

- Ability to function in a heavy patient load environment in a professional and friendly manner.

- Ability to cross train within the subspecialty areas of the department.

- Must be available for early starts, night clinics and weekends.

- Strong customer service and interpersonal skills required.

- Must have the ability to work effectively with the public.

- Bilingual English/Spanish preferred.

Education: High School/Bachelor’s degree in Computer Science, Electrical/Electronic Engineering, Information Technology or another related field or Equivalent.

Experience: Minimum 1+ years

Relocation: This position will cover relocation expenses

Local Preferred: Yes, Candidate should be local to San Diego California and travelling needed
